Most of our services are billed based on an hourly rate. Even the package prices quoted for assessments are based primarily on the amount of time spent and the hourly rate.
We have different types of professionals in our clinic and although they are all registered health care providers each have a different level of training. As such, you may notice that the hourly rate is different for each of the different professionals you may encounter.
The regulated health colleges and the professional associations often publish a recommended hourly rate for their members. You can be sure that the hourly rates in our clinic will always be lower than those recommended rates. For example, the current recommended hourly rate for a Psychologist in Ontario is $225.00.
Our clinic does make an effort to provide services at a reduced rate to a certain number of individuals who otherwise could not afford the service, each year. If you believe you are in such a position please contact office staff (705-727-1529) to explore options. We consider each case on its own merit.
Cancellation Policy for Counselling Sessions: We require one full business day (minimum of 24 hours) notice to cancel or change the time of a counselling session. Please alert office staff as soon you become aware that a date will not work for you. If you are unable to provide us with one business days’ notice you will probably be invoiced “in full” for the missed appointment. If you give less than the required notice and we can fill the time slot that had been reserved for you, then we will not charge you for that time. Sometimes clients arrive late for a scheduled session. When this happens, our policy is that the session still ends at the time it was originally scheduled to end. This means that you will get less face-to-face time with the therapist or evaluator than had been scheduled. However, you will still be expected to pay for the full amount of time that was originally scheduled. This is because we have clients scheduled one after the other and it would not be fair to other clients to push back their start time because you arrived late. There are times when the therapist does not have an appointment scheduled right after your appointment. In that situation, it is up to the discretion of the therapist to determine if they can extend the time for you.
Individual counselling appointments are typically scheduled for one hour or 60 minutes. You should expect to spend 50 minutes in face-to-face contact with the therapist. After this the therapist will spend the remaining ten minutes scheduling your next appointment, taking payment, completing summary notes and making plans for the next session.
When seeing a couple or a family it is common to schedule a total of 1.5 hours or 90 minutes. You should expect to spend 75 minutes in face-to-face contact with the therapist. The therapist will spend the remaining 15 minutes setting up your next appointments, taking payment, completing summary notes, and planning for the next session.
The amount of time scheduled for assessment appointments varies depending on the type of session. Typically, we would schedule 60 minutes for an interview or feedback session. For the interview session we aim to complete the face-to-face interaction part within 50 minutes. This leaves ten minutes for the evaluator to complete summary notes and make plans for the next step in the assessment.
For testing sessions, we schedule 2.5 hours for each session. The testing sessions are scheduled to allow you 120 minutes face to face contact with the evaluator. The remaining 30 minutes are used by the evaluator to score the tests, complete summary notes, and make plans for the next step in the assessment process. In a small percentage of cases the interview session or testing session may be completed earlier than expected. In this situation we still charge the same total price for the assessment because we have reserved a specific amount of time for your assessment.
When Smith Psychological provides remote services, we require that clients have a location that allows them privacy. We recommend a dedicated room in the house / apartment so the door can be closed. This will ensure privacy and a buffer from the daily activities of the household.
In a very small number of situations the video conferencing service does not work very well, typically because of a problem with the internet connection. When this happens the provider will ask you to switch to using the telephone to complete the rest of that appointment.
We require that payment be made before the session starts. For this reason, we require a credit card on file whenever services are delivered remotely (please note that VISA/ Mastercard debit cards are not acceptable. It must be a credit card). We will charge each required payment to your credit card the day before or morning of your scheduled appointment. Also, upon booking the first session a down payment of $90.00 will be charged to ensure that we have recorded the credit card information correctly. The balance of the first payment will be charged the day before or morning of your scheduled session.
If you are participating counselling, then you will be billed the regular rate for counselling. If you are doing an assessment, then we bill you $180.00 for the first payment until we know which type of assessment is being conducted. The clinician will inform administrative staff following the first interview and then the charge to your credit card will be adjusted accordingly. This is because the cost of the first payment for assessments varies depending on what type of assessment is completed.
Smith Psychological is committed to providing a safe and healthy space for our clients. We continue to follow and adhere to COVID-19 protocols set out by the Simcoe Muskoka District Health Unit and the Government of Ontario. Smith Psychological COVID-19 policy includes:
- When masks are required all clients who attend face-to-face services must wear a medical grade surgical mask while in the office regardless of their vaccination status. Masks are supplied for clients, if needed. Masks must be worn properly covering both the mouth and nose. Any clients/caretakers with a medical exemption for wearing a mask will be asked to attend wearing a face shield that they will provide themselves.
- Hand sanitizer will be available at multiple locations throughout the office and clients and staff will be asked to make use of it upon entering the office and exiting their appointment.
- Desk and other surfaces that clients come in contact with, like the payment terminal, will be cleaned often using acceptable antibacterial cleaners.
- When restrictions are in place office appointments will be scheduled in such a way as to minimize the number of clients in the waiting area at one time. To do this, we will leave fifteen minutes between sessions to allow clients to come and go.
Our staff commonly provide summary reports and complete various kinds of forms. Unless otherwise clearly stated in writing you should expect that there will be a charge for this work. The rate is the regular clinical rate set for that staff person.
Sometimes you may realize that you need a summary report of your counselling sessions to give to your Family Doctor for example. We are happy to do this kind of report writing but want to be clear that it is an extra charge at the regular hourly rate. Sometimes we do testing alongside of a counselling service. In this situation the counselling service was started first and then the staff person suggested that it would be helpful to do some strategic testing. In this case, there would be an additional charge for testing as well as providing the written summary of the results. Some people may require a Disability Tax Form to be completed. We schedule one hour for this service as it takes time to answer the very detailed questions asked on these forms. The questions are often different than what we may ask in our psychological and mental health evaluations.
Please note, if you have already consented to a formal evaluation, the written report is included in the originally agreed upon rate.
